How TeamWork Makes the Dream Work Smarter & Faster in Sage 300

If you’ve ever wished you could chat about a record, approve a transaction, or share documents directly from Sage 300, team collaboration tools deliver exactly that. With Teamwork for Sage 300, no more chasing people down with emails, messaging apps, or sticky notes. It does the nagging for you (politely, of course).

With business moving faster than ever, having tools that keep your team in sync is critical. According to recent research, 73% of employees who engage in collaborative work report improved performance, and 83% believe they work more efficiently and productively when using team collaboration tools in remote settings.

TeamWork for Sage 300 isn’t just a new piece of software. It’s designed to combine communication and action so that every conversation, decision, and approval happens wherever you are, making teams faster, smarter, and more connected. With TeamWork, teamwork finally lives up to its name, and here’s how it happens.

A Platform Built for Collaboration

When two trusted Sage 300 developers (Orchid Systems and AutoSimply) team up, you know something good is coming. Both companies have spent years helping Sage 300 users get more out of their systems.

Orchid Systems has built a reputation for tools that boost productivity and strengthen business processes, while AutoSimply focuses on making manufacturing and operations run smoothly through smart automation. Together, they’ve created TeamWork for Sage 300.

TeamWork for Sage 300 is a ‘made for mobile’ chat app for collaboration in Sage 300 that blends communication, workflow, and information sharing into one seamless experience. TeamWork has taken Sage 300 beyond a traditional ERP system. By combining chat, workflow, and information sharing in a single platform, your team can collaborate effectively, reduce reliance on email and phone calls, and make approvals and decisions faster and more accurately.

It keeps your team connected 24/7, while the desktop version makes sure nothing gets lost when you return to the office. Whether you’re updating optional fields, uploading documents and photos, or monitoring task lists, TeamWork lets you take action on Sage 300 records on the road, at home, or working in your favorite coffee shop.

Workflow Rules Engine

At the heart of TeamWork is the Workflow Rules Engine, a powerful but easy-to-use tool for configuring approvals and notifications. You define what requires approval, and it can be anything from new customers to high-value sales orders. For example, a PO over $10,000 with ’Status = Urgent’.

The Workflow Rules Engine allows you to set conditions based on amount, vendor group, location, or optional fields, and the approvals involve up to five sequential steps, or parallel groups, giving you the flexibility to mirror your processes exactly as you want. This is a system that bends to your business, not the other way around.

Using TeamWork for Sales Cycle Approvals & Shipments

TeamWork streamlines the sales cycle from start to finish. Creating a new customer or a sales order automatically triggers a chat notification to the relevant approvers. The team can discuss, ask questions, and finalize approvals directly in the chat, while Sage 300 updates the status and logs the history automatically.

You can also create a sales order through SalesAnywhere, trigger an approval workflow based on criteria like order totals or location, and then chat with your team to review and approve it in real time. The same flexibility applies to new manufacturing orders, where workflows can be tailored to production area, order size, or other parameters, making sure the right people are involved at every step.

Even shipment proof of delivery is streamlined. While not an approval, notifications can be triggered via a mobile barcode app, creating an O/E shipment directly in Sage 300 and notifying the right contacts that proof of delivery is required. To give you peace of mind, every chat, transaction listing, and shipment form is visible within Sage 300, so your team has a complete record of communications and approvals.

Using TeamWork for Purchase Cycle Approvals

On the purchasing side, TeamWork sends requests, purchase orders, and internal usage documents through approvals efficiently, without getting stuck in bottlenecks. Material requests can be posted and discussed directly in chat, and approvals happen in real time. Batch approvals for GL or AP postings are fully supported, with notifications sent to group members.

There are important security measures in place as well. For example, the person who created the batch can’t approve it themselves. This maintains compliance and keeps your approval process fully auditable. Every approval, chat message, and status update is captured within Sage 300, giving full transparency.

If you’re hoping to scale your business, TeamWork could make all the difference, with 63% of organizations experiencing growth having adopted “productivity-anywhere” models facilitated by online team collaboration tools.

Getting Started

The basic requirements to use TeamWork are the following AutoSimply and Orchid modules: A/C Chat (AutoSimply Chat), Extender, and Info Manager. Many of our clients have one or more of these already in place.

To help users transition to the platform, TeamWork comes with 20 standard workflow templates. We usually recommend starting small with 1-2 templates from new team collaboration tools and then expand as your processes evolve and you get more comfortable working within TeamWork. Think of it as tipping in your toes first. From there, your team can collaborate, approve, and act from anywhere, streamlining communication and keeping everything in Sage 300 for a complete, auditable record.

It’s efficiency, transparency, and mobility… all in one place. Don’t take our word for it: Grand View Research found that teams that adopt unified, mobile-first collaboration platforms see real gains in output, reduction in manual chores, and improved retention of both talent and organizational knowledge.
